# TruDealers: full reference

## 1. What TruDealers is

TruDealers is a dealer management system (DMS) for independent used-car and motorbike dealers in South Africa. Its core idea is the Zero-Rent DMS: there is no monthly rent and no per-user fee. A dealer pays a R1,500 once-off setup and then pays only for what they use, in credits. All prices are in South African Rand. TruDealers serves South Africa only.

## 2. Products

- **TruFlow DMS**: stock, vehicle costs, floor days and stock ageing, deals, invoices, credit notes, and accountant CSV exports (issued invoices and credit notes, stock, sold units, the Second-Hand Goods register). For VAT-registered dealers it issues SARS-compliant VAT invoices on their own deals, including second-hand goods deals.
- **DocHub** (inside TruFlow): pre-filled eNaTIS RLV and NCO forms, disclosures, deposit receipts, on-screen signing and a one-click deal pack. Paperwork only: dealers still submit through the normal eNaTIS process.
- **TruLens**: guided photo studio on any phone. 28-shot car set with on-screen outlines, 14-angle motorbike set.
- **TruInspect**: inspections and trade-in appraisals on the phone. 35-point checklist, condition score, photos, notes, saved to the car and filed in DocHub as a condition report.
- **AI damage scan**: AI flags possible damage on inspection photos. The inspector confirms before anything goes on a report.
- **Vehicle checks and valuations**: trade and retail values and vehicle checks, run from TruFlow, TruLens or TruInspect.
- **TruHunter**: searches stock for sale around South Africa and flags cars priced under the market.
- **TruChat**: answers buyers on WhatsApp every day and hands hot leads to the sales team.
- **AI receptionist**: a voice agent that answers the dealer's phone, answers stock questions and books call backs and visits.
- **Social inbox**: Facebook and Instagram comments and messages in one inbox inside TruDealers.
- **DealerAssist**: ask about stock, ageing cars, leads or deals in plain language and get answers from the dealer's own data.
- **Stock scraper and stock finder**: pulls stock for sale off the main South African sites and lets the dealer search it by make, model, price and province. Paid per use in credits.
- **TruBrand**: branded social posts of the dealer's stock with logo, price and stock number.
- **Showroom website and lead widgets**: a showroom site on the dealer's domain with live stock from TruFlow, a trade-in widget, finance calculator, affordability check, test-drive booking and WhatsApp buttons. Leads go into the DMS. Widgets can also be added to an existing site with one script tag.
- **Automation**: ready-to-send posts every morning and afternoon, Facebook and Instagram catalogue sync, rotating listing descriptions, one stock feed for South African portals (the dealer gives each portal their feed link), and a daily to-do list on the DMS dashboard.
- **TruDealers Moto**: the same system set up for motorbike dealers, with a bike photo set, bike inspection checklist and a demo ride booking widget.

## 3. Pricing (DMS dealers)

- **Setup:** R1,500 once-off. Covers a standard templated showroom website (logo, one brand colour, contact details, domain) wired to the DMS lead widgets. Custom design is quoted separately.
- **Monthly rent:** none. No per-user fees, no module fees.
- **Credits:** 1 credit = R1. Paid actions are priced in credits. Every paid action shows its credit price on the button or on hover before it runs. Nothing is deducted silently.
- **Paid actions:** vehicle checks, valuations, AI damage scans, live market pricing, TruHunter and stock finder searches, the TruInspect PDF report and the remote inspection link.
- **Make and model lookup:** free in the DMS (R0, logged only).
- **AI writing:** descriptions and posts are included, no credits.
- **Example prices:** vehicle valuation 5 credits; TruValues valuation report 45 credits; vehicle verification check 60 credits; TruRadar live market pricing 1 credit; TruHunter stock search 5 credits; licence disc scan 10 credits. Social posting on a set schedule is an optional add-on at R500 a month; managed social media is R1,500 a month. Other prices are shown in the product.
- **Free in TruInspect:** opening an inspection, photos, the checklist and saving to the car.
- **Failed checks:** a check that fails or finds no match costs nothing.
- **Top-up:** any amount in the DMS, with no minimum. EFT is free. PayFast (card or Instant EFT) carries a 3.5% fee, shown at top-up.
- **Credits panel:** the dealer sees their balance (or amount owing) and their last payment, with a PayFast top-up button and an "I've made an EFT payment" button.
- **Running out:** work is not blocked. The balance goes below zero and the next top-up clears it first.
- **Expiry:** paid credits expire 36 months after the top-up is confirmed. Oldest credits are used first. Reminders at 60 and 30 days.
- **Monthly billing:** trusted dealers can be billed monthly in arrears by arrangement. Payment is due on the 25th of each month, by EFT.
- **Prices are as charged.**
- **Refunds:** no cash back on used credits. Unused credits are refunded when the customer is lawfully entitled to a refund under South African law, including the Consumer Protection Act. Policy: https://www.trudealers.com/refund-policy.html
- **Optional services:** done-for-you help (TruDealers Managed) and custom design or integrations, quoted per dealership.

## 4. Vehicle data store

Coming soon at https://www.trudealers.com/verify: a standalone online store where dealers and anyone else can buy vehicle data without a DMS.

- Standalone store: single-use lookups or prepaid multi-use product codes (packs of 10 at 10% off; no minimum purchase). No wallet, no credit ledger, no monthly fee, no accounts, no DMS link.
- Products (priced in Rand per lookup, see https://www.trudealers.com/verify for the full price list; some items are price on request): make and model, catalogue/specs, trade and retail values, TruValues PDF report, Outvin, Car-Scan, Verify Vehicle, CarTrust, live market value, Stock Hunter, remote inspection link (short), remote inspection link (long), licence disc scan.
- Delivery by email with a magic link receipt.

## 5. Data and privacy

- Dealers own their data and can export stock, customers and deal history to CSV.

- For dealers' customer data in the system, the dealer is the responsible party and TruDealers acts as operator.
